Barcode Back Filer was specifically designed for batch processing files
that need two pieces of indexing data, such as a person’s name and
document type. It has been updated so that it is very well suited for
packages of informaiton that need two pieces of indexing data. The
best way to think of it is a software program for scanning file folders
that are named by a barcode and inside the file folder the files are are
named the folder name - document type with the documenht type coming
from another barcode.
The two pieces of indexing data can be placed on the documents or cover
pages can be used. Any combinaiton can be used and the the pages
can be saved or discarded.
An example would be a students package of documents to play sports. One
barcode could be the student's name on a cover page and all other
documents could have a barcode with document type. In this case
the cover page with the students name could be dropped. However, one of
the documents such as a release form could have a barcode sticker on it
with the student's name. In this case the page is saved and "release
form" is added to the student's name.
The program works as follows for Back Files:
A user creates a list of folder names and
prints out cover pages. This list is usually in a database and File by
Barcode Suite has a utility for doing this. When printed the database is
sorted the same as the file cabinet sort. A second set of cover pages is
printed as these are the document types. The user takes the file folder
and places the cover page on top (these are in order from the sort),
inserts the documet type pages and scans the file. Once scanned the
document type separter pages can be removed and used again.

Dropping the Barcodes:
There are three options for the barcode pages.
Keep them all which would be used in a
scenario where the first page would always contain a barcode and information
that must be kept. This could be a form with a sticker if need be.
The second scenario would be keeping only the barcodes with document types. For
instance all the documents have a barcode on them and defining is a cover page
with the prefix is not wanted.
The final scenario would be to remove all barcoded pages. This would be for
filing back files. The first barcode would be the folder identifier, and the
rest document identifier sheets.

The File by Barcode Suite contains, Simple
Barcode Filing, Barcode Back Filer, and File by Barcode program files. It also
includes one Scan station, one Cover Page Creator and one Retrieval Station. All
the programs can be used with a copier that scans to a file folder on the
network avoiding the need for additional scan stations. All files are
logically created allowing a user to browse to them.
If additional scanners, retrieval or cover
page creation are required these can be purchased separately.
