eDocFile's Screen Scrape to Folder is used to automatically build a file folder and file naming structure using the information on the operators screen. It is an easy way to productively manage unique documents with little effort as there is no browsing to file folders or manually naming them incorrectly.
With Screen Scrape to Folder the operator opens an application that contains unique information such as loan numbers, invoice numbers, Vehicle Identification Numbers, serial Numbers etc. and searches for a record. Once the record is found, the operator clicks on an icon residing on the taskbar. This icon activates eDocFile’s screen capture utility and the data from the screen is captured. Up to five pieces of information can be captured and used for file and folder naming. Usually only one or two will be needed, for instance serial numbers are all unique and would only require one field of information. However, with accounts payable the vender number and invoice number would need to be captured to be assured of no duplicates. The additional fields are available to create a logical file method that employees can relate to as in the example above. Although the only necessary piece of information is the Serial Number, additional fields have been captured. In this example the State becomes a subfolder and the Company Name a subfolder of that. The file name becomes the model number followed by the serial number. The folders are automatically created saving hours of time and since these are real folders not virtual ones, anyone with network access to them can browse to the file they want. To retrieve the files the process works backwards, a different icon is activated; it retrieves the same data that was used to create the file, only now it is used to open the file. Everyone with the application on their desktop can easily retrieve the files at no additional charge as the retrieval portion of Screen Scrape to Folder is royalty free. The program can also create a csv file allowing the information can be imported into document management systems. EDocfile has other screen capturing programs for Creating CSV and Text export files as well as ones that automatically fill out forms.
